The foreign education glossary
53 documents, tests and acronyms that appear in an overseas study application, each defined plainly and each with the part nobody tells you: who needs it, how to actually get it, and where people go wrong.

Documents
Apostille
attestation · MEA apostille
An apostille is a certificate attached to an Indian document by the Ministry of External Affairs confirming it is genuine, recognised by all countries party to the Hague Apostille Convention. Countries outside that convention require embassy attestation instead, which is a different and usually longer process.
Backlog Certificate
A backlog certificate is a university-issued document stating how many examination attempts you failed and later cleared during your degree, or confirming that you have none. Several universities in Australia, Germany and Canada ask for it explicitly, and some visa applications require it.
Bonafide Certificate
A bonafide certificate is a letter from your institution confirming that you are, or were, a genuine enrolled student there, stating your name, course, and the period of study. In study-abroad applications it is used to evidence current enrolment for scholarship and loan applications, and to support visa applications where proof of student status is required.
Consolidated Mark List
CML · consolidated marksheet
A consolidated mark list is a single university-issued sheet showing your marks for every semester of a degree together, rather than the individual semester mark lists issued during the course. Many foreign universities and evaluators ask for it alongside, or instead of, the semester-wise sheets.
Degree Certificate
convocation certificate · original degree
A degree certificate is the final printed certificate a university issues confirming that a degree has been conferred, usually at or after convocation. It is distinct from the provisional certificate, which serves the same purpose in the interim and is accepted by nearly every foreign institution.
Medium of Instruction Certificate
MOI certificate · MOI
A medium of instruction certificate is a letter from your college or university confirming that your degree was taught and examined in English. Some universities accept it in place of an IELTS or TOEFL score, particularly for taught master's programmes in the UK, Ireland and parts of Canada and Australia.
Migration Certificate
A migration certificate is issued by your current university to confirm it has no objection to you enrolling elsewhere. Indian universities issue it routinely on request, and while most foreign institutions never ask for one, some Indian universities require it back if you later transfer within India.
Provisional Certificate
PC · provisional degree certificate
A provisional certificate is the interim document a university issues after you complete a degree, confirming you have qualified for it, while the printed degree certificate is still being prepared. It is accepted by almost every foreign university and credential evaluator in place of the final degree certificate, which in Indian universities can take a year or more to be issued.
Applications
Academic CV
An academic CV is the version of your CV written for an admissions committee rather than a recruiter: education first with thesis title and supervisor, then research experience described by contribution, then publications, technical skills and teaching. Two pages is standard for master's applicants; PhD applicants with publications run longer.
Conditional Offer
A conditional offer is an admission offer that depends on you meeting stated conditions, typically a final grade, an English test score, or the submission of a pending document. It becomes an unconditional offer once the conditions are met, and for the UK a CAS is only issued after that point.
Deferral
A deferral is a university's agreement to move your admission to a later intake, usually the next one. Policies vary: some institutions grant it once as a matter of routine, others require a reason, and a scholarship attached to the original offer often does not carry over.
Gap Justification
study gap explanation
A gap justification is a short written account of any period between the end of one qualification and the start of the next, submitted where a university or visa authority asks for it. What is expected is documentation, not apology: employment letters, test preparation records, medical documents or caregiving circumstances, with dates.
Intake
Fall intake · September intake · January intake
An intake is a starting point in a university's academic year. Most countries run a major intake in September (called Fall in North America) and a smaller one in January, with Australia and New Zealand running February and July. Applications typically open eight to twelve months ahead, and the funded places in a programme are usually filled from the main intake.
Letter of Intent
LOI
A letter of intent is a statement of purpose by another name, used by some Canadian and Irish institutions and by a number of professional programmes. Where the two appear in the same application, the letter of intent is usually the shorter and more direct of the two. Write to the word limit and the questions given rather than to the label.
Letter of Recommendation
LOR · reference letter · recommendation letter
A letter of recommendation is a signed assessment of an applicant written by someone who has taught, supervised or managed them. Most graduate applications ask for two or three, and committees expect each to come from a different vantage point: a thesis supervisor speaks to research capacity, a course instructor to performance against a cohort, a manager to how you work when the task is not graded.
Motivation Letter
Motivationsschreiben
A motivation letter is the German equivalent of a statement of purpose, and it is a shorter, more formal document: conventionally one page of roughly 400 to 600 words, laid out as a business letter with an addressee, a subject line and a signature. It is read for coherence between your completed coursework and the programme's requirements, not for narrative.
Personal Statement
A personal statement is the UK and Irish equivalent of a statement of purpose, and it is weighted differently: roughly 80 per cent of it should be about your engagement with the subject rather than about the institution. For undergraduate applications through UCAS it is capped at 4,000 characters including spaces and 47 lines, and the same statement goes to all five course choices.
Statement of Purpose
SOP
A statement of purpose is a one-to-two page essay submitted with a graduate application that argues why a specific applicant should be admitted to a specific programme. It covers the academic record that qualifies you, the direction you intend to pursue, why that department is the right place for it, and what you plan to do afterwards. It is not a biography and not a restatement of your CV.
UCAS
Universities and Colleges Admissions Service
UCAS is the centralised application service for UK undergraduate courses. One application carrying one personal statement goes to up to five course choices, which is why naming a single university in that statement is a mistake, and why the choices should be closely related enough for one statement to serve all of them.
uni-assist
uni-assist is the shared service many German universities use to pre-check international applications. It confirms that your qualifications and module credits meet the programme's formal requirements and converts your grade to the German scale before the university itself sees the file.
Tests
Duolingo English Test
DET
The Duolingo English Test is a computer-adaptive English test taken online at home, scored out of 160, with results usually returned within two days. Acceptance is uneven: many US and Canadian institutions take it, fewer in the UK and Ireland, and visa authorities may still require an approved test even where the university accepts DET.
GMAT
The GMAT is an admissions test used by business schools, now most commonly in its shorter Focus Edition. Many MBA and management programmes have moved to waiving it for applicants with substantial work experience or a strong quantitative record, so check the waiver policy before booking a test date.
GRE
Graduate Record Examination
The GRE is a standardised test of verbal reasoning, quantitative reasoning and analytical writing used in US graduate admissions. A growing number of programmes have made it optional since 2020, and whether it helps you depends on whether the rest of your file needs a quantitative signal.
IELTS
International English Language Testing System
IELTS is an English proficiency test scored from 0 to 9 in four sections, accepted by universities and visa authorities across the UK, Australia, Canada, Ireland and New Zealand. Universities and visa routes set separate minimums, and the visa minimum is often the harder of the two because it applies to each section rather than the overall band.
OET
Occupational English Test
OET is an English test built around healthcare scenarios, scored A to E per sub-test, and accepted by nursing and medical regulators including the UK's NMC and Australia's AHPRA, as well as by many universities. Nurses often find it more approachable than IELTS because the reading and writing tasks use clinical material rather than general academic text.
PTE Academic
PTE Academic is a computer-based English test scored out of 90, with results typically available within a few days. It is widely accepted in Australia, New Zealand and the UK, and is often chosen for its speed and its fully automated scoring, which removes the examiner variability some applicants encounter in a spoken IELTS test.
TOEFL
TOEFL iBT
TOEFL iBT is an English proficiency test scored out of 120, most commonly required by US universities. Graduate programmes typically ask for 90 to 100 overall, often with section minimums, and some departments set a higher speaking requirement for applicants who may hold teaching assistantships.
Visas
CAS
Confirmation of Acceptance for Studies
A CAS is the electronic reference number a UK university issues once it has made you an unconditional offer and you have met its conditions, including any deposit. You cannot apply for a UK Student visa without it, and it carries the course details, fees and funds figures the visa application must match exactly.
CoE
Confirmation of Enrolment
A Confirmation of Enrolment is the electronic document an Australian institution issues once you have accepted an offer and paid the required deposit, and it is what the student visa application is built on. One CoE is issued per course, so a packaged degree can involve several.
Credibility Interview
A credibility interview is a short interview conducted by UK visa staff to establish that an applicant is a genuine student. It typically covers why you chose that course and university, what the course contains, how you are funding it, and what you plan to do afterwards, and answers that contradict your written application are the most common reason for a refusal at this stage.
Genuine Student Requirement
GS · GTE · Genuine Temporary Entrant
The Genuine Student requirement is the test Australia's Department of Home Affairs applies to student visa applicants, replacing the older Genuine Temporary Entrant (GTE) requirement from March 2024. Applicants answer a set of targeted questions about their circumstances, why this course and provider, their understanding of studying in Australia, and their plans afterwards, rather than submitting one open-ended statement.
I-20
Form I-20 · SEVIS
The I-20 is the certificate of eligibility a US university issues to an admitted international student, confirming the programme, its cost and your funding. You need it to pay the SEVIS fee, to book an F-1 visa interview, and to enter the United States.
Letter of Explanation
LOE · Explanation letter
A letter of explanation is the document submitted with a Canadian study permit application, addressed to the visa officer rather than the university. It explains why you chose this programme and this institution, how the study is funded, and what you return to afterwards. It is a separate document from the SOP you sent the university, and submitting the academic SOP in its place is a common cause of refusal.
Post-Study Work Visa
PSW · Graduate Route · PGWP
A post-study work visa lets a graduate stay and work in the country where they studied for a defined period without an employer sponsor. The UK Graduate Route, Canada's PGWP, Australia's Temporary Graduate visa and Ireland's Third Level Graduate Programme are the main routes, and each attaches its own eligibility rules to the course and institution you chose.
Provincial Attestation Letter
PAL · TAL
A Provincial Attestation Letter is a document from the Canadian province or territory where you will study, confirming you are counted within its allocation under the national study permit cap. Most new study permit applications will not be processed without one, and it is the province, not the university, that issues it: usually via the institution once you accept an offer and pay a deposit.
Study Permit
A study permit is the document that allows you to study in Canada; it is not a visa, and most applicants also need a visitor visa or eTA to travel. It is issued for the length of your programme plus a short grace period, and it names the institution, which matters because changing institution has reporting obligations attached.
Money
Affidavit of Support
sponsor letter · sponsorship affidavit
An affidavit of support is a sworn statement from a sponsor confirming that they will fund your study, submitted with their own financial documents and evidence of their relationship to you. US applications commonly require it alongside the I-20 financial documentation.
Assistantship
TA · RA · Teaching Assistantship · Research Assistantship
An assistantship is paid academic work attached to a graduate place, usually teaching or research, and it commonly carries a stipend plus a full or partial tuition waiver. It is the main funding route for PhD applicants in the US, and it is awarded by the department rather than a central scholarship office, which is why naming faculty in a statement of purpose matters there.
Blocked Account
Sperrkonto
A blocked account is a German bank account holding a fixed sum that a student can only withdraw in monthly instalments, used to prove to the visa authority that you can support yourself. The required amount is set annually by the German government and is the standard route for Indian students to satisfy the proof-of-funds requirement.
CA Valuation Certificate
Chartered accountant valuation · CA certificate · Net worth certificate
A CA valuation certificate is a statement of the value of assets, prepared and signed by a practising chartered accountant, that banks accept as evidence when sanctioning a secured education loan. Where the security is property, a separate valuer's report and a legal opinion on the title are usually required alongside it.
Collateral
security · secured education loan
Collateral is the asset pledged against a secured education loan, typically residential property, land, or a fixed deposit. Indian lenders generally require it above a loan threshold that varies by bank, and the valuation and title verification are usually the slowest part of the sanction.
Education Loan
An education loan for overseas study is a secured or unsecured loan from a bank or non-banking lender covering tuition, living costs and travel. The sanction letter is accepted as proof of funds by most student visa routes, and for Indian applicants it is usually issued against collateral above a threshold that varies by lender.
GIC
Guaranteed Investment Certificate
A Guaranteed Investment Certificate is a Canadian bank product used to evidence living costs for a study permit: you transfer a set sum before applying, and the bank releases it to you in instalments after arrival. The required amount is set by the immigration department and has been revised upward more than once, so check the current figure rather than an older one.
IHS
Immigration Health Surcharge
The Immigration Health Surcharge is a fee paid with a UK visa application that gives access to the NHS during your stay. It is charged per year of visa length, is paid upfront as a lump sum, and is separate from the visa fee itself: a point that regularly catches applicants budgeting only for the visa.
OSHC
Overseas Student Health Cover
Overseas Student Health Cover is the private health insurance Australian student visa holders are required to hold for the full length of their visa. It is bought from an approved insurer, usually paid upfront for the whole period, and the visa application asks for the policy start and end dates.
Proof of Funds
financial documents · show money
Proof of funds is the set of documents demonstrating that you can pay tuition and living costs for at least the first year, usually bank statements, fixed deposits, an education loan sanction letter, or a blocked account. Every major student visa route requires it, and each sets its own rules about how long the money must have been held and whose account it may sit in.
Tuition Waiver
A tuition waiver removes some or all of your tuition fee, and is distinct from a stipend, which pays you a living allowance. Funded offers often combine the two, and reading an offer carefully matters: a full waiver with no stipend still leaves living costs to be evidenced for the visa.
Credentials
AIU Equivalence Certificate
Association of Indian Universities equivalence
An AIU equivalence certificate states that a foreign qualification is equivalent to an Indian one, and is issued by the Association of Indian Universities. It matters on the way back rather than the way out: returning graduates need it for Indian government jobs, further study in India and some professional registrations.
APS Certificate
Akademische Prüfstelle · APS India
An APS certificate is a document from the Academic Evaluation Centre (Akademische Prüfstelle) verifying that an Indian applicant's academic documents are genuine. Since 2022 it has been mandatory for Indian students applying to German universities and for German student visa applications, and universities will not process an application without the APS number.
CGPA to GPA Conversion
CGPA to GPA conversion is the translation of an Indian 10-point cumulative grade point average into the American 4-point scale. There is no single official formula, and universities differ: some convert internally, some accept a WES evaluation, and some want the grade stated in its original scale with the university's own conversion key attached.
NMC Registration
Nursing and Midwifery Council · UK nurse registration
NMC registration is the process by which a nurse trained outside the UK becomes licensed to practise there. It involves an eligibility application, an English test, the CBT computer-based test, and the OSCE practical examination taken in the UK, and it runs alongside rather than inside the visa process.
Transcript
official transcript · academic transcript
A transcript is the official, university-issued record of every course you took and the marks you received, usually consolidated across all semesters and issued in a sealed, stamped envelope. Foreign universities and credential evaluators require it to come directly from the issuing university or in an unopened envelope, which is why a photocopy of your mark lists is not a substitute.
WES Evaluation
World Education Services · ECA · Educational Credential Assessment
A WES evaluation is a report from World Education Services stating what your Indian qualification is equivalent to in the Canadian or American system, including a converted GPA. For Canadian permanent residence it is one of the accepted forms of Educational Credential Assessment (ECA); for university admission it is sometimes required and often optional.
Common questions
Which documents does every Indian student need to study abroad?
A university transcript, a provisional or degree certificate, consolidated mark lists, an English test score or medium of instruction certificate, a statement of purpose or personal statement, two or three letters of recommendation, and proof of funds. Country-specific additions include an APS certificate for Germany, a CAS for the UK, an I-20 for the United States and a letter of explanation for Canada.
How long does it take to get transcripts from an Indian university?
Commonly two to six weeks, and longer immediately after results are published. The certificate usually comes from the university your college is affiliated to rather than from the college itself, so confirm which office issues yours before planning around a deadline. Order every copy you will need in one application, because a second request restarts the wait.
Is a provisional certificate accepted instead of a degree certificate?
Yes, by nearly every foreign university and credential evaluator. Indian universities often take a year or more to issue the printed degree certificate, and applications are routinely made and accepted on the provisional.
