How to explain a study gap

The short answer
State it plainly in two sentences, in the second half of the document, and follow it immediately with what the time produced. A gap the university can see on your transcript but cannot explain invites the least generous reading available. Length is the enemy here: a paragraph of explanation reads as defensiveness, where two factual sentences read as someone in command of their own record.
Where it goes, and why not the opening
The second half, after your preparation and experience have been established. An opening that leads with a gap frames the whole document around a weakness, and the reader spends the rest of it looking for more.
By the time it appears, the committee should already have reasons to want you. The gap then reads as a fact to be accounted for rather than the headline.
What to actually say
Name the reason, factually: work, caring responsibilities, illness, a failed application cycle, family circumstances, visa delays. Then, in the same breath, what you have to show for it.
Gaps spent working are frequently an asset rather than a liability, and applicants routinely undersell them. Four years in a hospital, a bank or a factory is domain knowledge a fresh graduate does not have, and it belongs in the argument rather than in the apology.

- What you did during it that is relevant
- What it taught you that points at this programme
- No apology, and no promise to work twice as hard
Long gaps are a different argument
A gap of five or ten years cannot be minimised and should not be. The argument shifts from accounting for absence to showing why returning to study now is a considered decision rather than a drift: what changed, what you cannot do without the qualification, and what you intend to do with it.

Where else it has to appear
Visa applications ask separately. Australia's Genuine Student statement and Canada's letter of explanation both want gaps addressed, and inconsistency between the university document and the visa one is the kind of thing an officer notices. Use the same facts in both.

How long a study gap is too long?
There is no fixed cut-off, and applicants return to study after a decade regularly. What matters is whether the gap is accounted for and whether the return reads as deliberate. An unexplained two-year gap does more damage than a well-argued ten-year one.
Should I mention a gap if it was for health reasons?
Yes, in one factual sentence, without clinical detail. You are not required to disclose a diagnosis and should not feel obliged to. What the committee needs is that the period is accounted for and that the situation has changed, which one sentence can carry.
